What SynapseBooks does
SynapseBooks provides online bookkeeping, monthly reporting, a client portal, document uploads, and messaging between you and your bookkeeper team.
Information we collect
We collect information you provide directly — such as your name, email, business details, and billing information — plus documents you upload and messages you send through the portal.
When you connect a business bank account, we receive bank and transaction data through our secure connection partner. We do not collect or store your full bank login credentials.
How we use your information
We use your information to provide bookkeeping and reporting, communicate with you, process payments, prevent fraud, keep the service secure, improve reliability, and meet legal obligations.
Connected bank and transaction data is used to categorize transactions, prepare your monthly reports, reconcile accounts, and support your bookkeeper's work on your books.
We do not sell your personal information.
Service providers we work with
We use trusted vendors to run SynapseBooks, including providers for hosting, databases, authentication, email, analytics, customer support, and payment processing.
Payments: Billing is handled by Stripe (or another payment processor we use). We do not store your full credit or debit card numbers.
Bank connections: Secure bank linking is provided by Plaid (or another financial data provider). You sign in directly with your bank; we receive read-only transaction data, not your bank password.
These vendors process data on our behalf under contracts that require appropriate safeguards. We may also disclose information when required by law or to protect rights and safety.
Security and retention
We use industry-standard measures to protect data in transit and at rest, including encryption and access controls limited to authorized staff.
We keep information as long as needed to provide the service, resolve disputes, and meet legal requirements. After that, we delete or anonymize it where appropriate.
Your rights and choices
Depending on where you live, you may have the right to access, correct, delete, or export your personal data, or to object to certain processing. To make a request, email support@synapsebooks.com. We may need to verify your identity before responding.
Children's privacy
SynapseBooks is for businesses and is not directed at children under 13. We do not knowingly collect personal information from children.
Changes to this policy
We may update this privacy policy from time to time. We will post changes on this page and, for material updates, make reasonable efforts to notify you.

Agreement
By using SynapseBooks, you agree to these terms. If you do not agree, please do not use the service.
What we provide
SynapseBooks provides bookkeeping and monthly reporting services for small businesses, along with a client portal, document sharing, and messaging with your bookkeeper.
Reports are for business information and day-to-day operational use — to help you understand revenue, expenses, and profit over time.
What we are not
SynapseBooks is not a CPA firm, law firm, tax advisor, investment advisor, or payroll provider. Our reports and communications are not a substitute for professional tax, legal, or investment advice. Consult a qualified advisor when you need specialized guidance.
Your responsibilities
You agree to provide accurate business and account information, keep your login credentials secure, and review your reports. You are responsible for business decisions you make using the information we provide.
By connecting a bank account, you authorize SynapseBooks and our vendors (including Plaid and similar providers) to access your connected bank and transaction data as needed to deliver the service.
Subscriptions and billing
Fees are charged according to the plan you select. Subscriptions renew monthly until you cancel through your account or by contacting us. Fees are generally non-refundable unless required by law or stated otherwise at checkout.
Payments are processed by Stripe or another payment provider. Applicable taxes may apply based on your location.
Starter plan scope
The Starter plan covers simple cash-basis bookkeeping for small businesses with connected bank accounts and monthly Profit & Loss reporting.
Unless separately agreed in writing, Starter does not include payroll processing, tax preparation or filing, sales tax returns, inventory tracking, historical bookkeeping cleanup, complex accrual accounting, or accounts receivable/payable management.
Acceptable use
You may not misuse the service, attempt unauthorized access, interfere with other customers, or use SynapseBooks for unlawful activity. We may suspend or terminate access if we reasonably believe your use creates risk or violates these terms.
Third-party services
Parts of the service rely on third parties — such as Stripe for payments and Plaid for bank connections. Your use of those features may also be subject to their terms. We are not responsible for third-party services we do not control.
Disclaimers
The service is provided "as is" to the fullest extent permitted by law. While we work carefully on your books, we do not guarantee that reports will be error-free or suitable for every purpose.
Limitation of liability
To the extent permitted by law, SynapseBooks and its suppliers are not liable for indirect, incidental, special, consequential, or punitive damages, or for loss of profits, data, or goodwill. Our total liability for any claim relating to the service is limited to the amount you paid us in the twelve months before the event giving rise to the claim (or one hundred U.S. dollars, if greater).
